- Responsible To: Assistant Superintendent for Special Services
- Location: District Office
- Calendar: Year-Round Employee
- Daily Schedule: 7:30 am - 4:00 pm
- Hours Per Day: 8 hours per day, which includes a 15-minute paid break
- Unpaid Meal Break: 30 minutes
- Benefits: Eligible for medical benefits and paid leave. IMRF participation is required.
Minimum Qualifications
- High school diploma or equivalent
- Must have excellent computer/technology skills
- Must have excellent interpersonal skills
- Must be able to meet deadlines
- Experience with special education preferred
- Must be able to communicate clearly and concisely, both orally and in writing
- Must maintain confidentiality in all matters
- Excellent work ethic
Essential Duties and Responsibilities
- Must perform all responsibilities in a professional manner consistent with district policy and practices.
- Handle correspondence and phone communication related to the activities of the Special Services Department.
- Perform duties associated with the afternoon/back-up receptionist position, including screening visitors and telephone calls, directing them to the appropriate person or department
- Schedule appointments, make travel arrangements, and assemble materials for meetings.
- Maintain an orderly filing system (both physical and electronic) and electronic databases for the Assistant Superintendent for Special Services and the Special Services Department.
- Effectively communicate with staff members, parents, vendors, feeder districts, and community members.
- Obtain, gather, and organize pertinent data as needed.
- Work with the Assistant Superintendent for Special Services on accounts and purchasing items, including processing check requests, ordering supplies, reviewing and organizing private placement tuition and contracts, collecting and submitting mileage requests, collecting and organizing Department of Special Services timesheets, and other responsibilities as assigned.
- Maintain and update account balance sheets for the department, grants, and district accounts.
- Maintain and update student, personnel, and reimbursement information, and claims related to the Special Services Department, in the IStar, PowerSchool, Yellow Folder, and Embrace databases.
- Organize and facilitate transportation for students with special needs, including buses, cabs, private placements, tutoring, and McKinney-Vento.
- Collect, copy, and distribute private placement students' monthly attendance reports, as well as homebound tutored students' reports, to campuses and the Finance Office.
- Complete filing, copying, scanning, shredding, and other similar tasks throughout the district as assigned.
- Open, send, deliver, and distribute mail, packages, and documents throughout the district as assigned.
- Attend a variety of meetings throughout the district as assigned.
- Perform other relevant duties as assigned.
Physical Requirements:
- Requires the ability to sit and/or stand for prolonged periods of time.
- Ability to move freely and perform duties in numerous locations throughout the day (involving the ability to stoop, bend, and reach as needed).
- Ability to walk up and down stairs to file and retrieve documents.
- Ability to occasionally move, lift, carry, pull, or push heavy objects or materials.
- Exposure to noise and activity in a school setting.
