Terms of Employment
- Responsible to: Assistant Superintendent for Finance & Personnel
- Location: District Office
- Calendar: Year-Round
- Daily Schedule: 7:00 am to 3:30 pm
- Hourly rate: $29.00 to $34.00 per hour, or commensurate with experience
- Hours Per Day: 8 hours per day with a 30-minute unpaid lunch
- Benefits: Eligible for medical insurance and paid leave. IMRF participation is required.
Minimum Qualifications
- High school diploma or equivalent
- Bachelor Degree is preferred
- 5 years of prior payroll experience is preferred
- Skyward Qmlativ or similar financial software platform experience is preferred
- Knowledge of payroll processing including federal, state, and pension requirements
- Demonstrate extensive computer skills and keyboard proficiency
- Must be detail-oriented
- Demonstrate excellent oral and written communication skills
- Demonstrate exceptional time management skills
- Ability to work efficiently and effectively under minimal supervision
- Highly ethical and must respect the confidentiality of sensitive information
- Ability to meet all required timelines and deadlines
Essential Duties and Responsibilities
- Must perform all responsibilities in a professional manner consistent with district policy and practices.
- Assist in developing reporting processes, procedures and internal controls for the purpose of maintaining and ensuring compliance with payroll practices in accordance with Federal, State, and local laws.
- Perform office duties including but not limited to: filing, data entry, accurate reporting, collecting, organizing, and maintaining paperwork, records, and communication systems.
- Complete the semi-monthly entry, processing, and disbursement of district payroll.
- Complete the related payroll liabilities, including State and Federal taxes, TRS, IMRF, unemployment, 403b, wage garnishments, association dues, etc.
- Process and remit quarterly tax payments.
- Complete quarterly Fairbanks Medicaid reporting.
- Process and distribute annual W-2s.
- Reconcile timesheets semi-monthly.
- Reconcile and review staff time-off transactions to ensure accuracy.
- Maintain and update various district spreadsheets.
- Maintain and update payroll employee files.
- Complete monthly account reconciliation for assigned bank accounts.
- Complete required TRS and IMRF reports.
- Processes and maintains data for all contract updates, tax changes, union dues, etc.
- Provide necessary documentation for financial audits.
- Provide support to employees and departments for payroll and timekeeping questions and issues.
- Work cooperatively and collaboratively with all staff and administration.
- Participate in ongoing professional development to stay current with payroll requirements and processes.
- Perform other relevant duties as assigned.
Physical Requirements:
- Requires the ability to sit and/or stand for prolonged periods of time.
- Ability to move freely and perform duties in numerous locations throughout the day (involving the ability to stoop, bend, and reach as needed).
- Ability to occasionally move, lift, carry, pull, or push heavy objects or materials.
- Exposure to noise and activity in an office setting.
- Close visual acuity, preparing and analyzing data, viewing computers, and extensive reading.
